These are the booking terms and conditions for ProLuxe Travel Ltd. Our Privacy Policy and cookie notice are published separately.
These booking terms and conditions apply to bookings and services arranged by ProLuxe Travel Ltd. By requesting, confirming or paying for a booking through the company, you agree to these terms.
1. Who We Are

2. Our Role
ProLuxe Travel Ltd arranges luxury travel-related services, including hotel accommodation, concierge support, ground services, event-related accommodation management and other travel support services.
Unless expressly confirmed otherwise in writing, the company acts as a disclosed agent for third-party suppliers including hotels, transport providers, venues, destination service providers and other travel suppliers. This means your contract for the relevant travel service is with the supplier providing that service, and that supplier's own terms and conditions will also apply.
The company does not sell package holidays or linked travel arrangements through this website and these terms are not intended to apply to package travel arrangements.
3. Requests and Quotations
All quotations are subject to availability, price change, supplier terms and final confirmation at the time of booking.
A quotation does not create a binding contract. No booking is confirmed until:
- The company has confirmed the booking in writing; and
- Any required deposit or full payment has been received in cleared funds.
Quoted prices may change before confirmation due to supplier repricing, exchange rate movement, tax changes, local charges, service charges or availability changes.
4. Pricing
Prices may be quoted in GBP or another currency. Where a booking is priced in a foreign currency, the final sterling amount may vary depending on the exchange rate applied by the relevant supplier, payment provider or card issuer.
Unless stated otherwise, prices may exclude:
- Local city or tourist taxes
- Resort or facility fees
- Porterage
- Gratuities
- Incidental hotel charges
- Visa costs
- Insurance
- Charges for extras requested directly with the supplier
You are responsible for checking the inclusions and exclusions before confirming a booking.
5. Payment
The company may require a deposit, staged payments or full prepayment depending on the supplier and the nature of the booking.
Payment deadlines are binding. If payment is not received by the due date, the supplier may cancel the booking or amend the rate or availability. The company is not responsible for any resulting loss, cancellation or increase in cost.
Where the company accepts payment on behalf of a supplier, this does not make the company the principal supplier of the service unless expressly stated otherwise in writing.
6. Supplier Terms
All bookings are subject to the terms and conditions of the relevant supplier, including their rules on:
- Cancellation
- Amendments
- No-shows
- Early departure
- Check-in and check-out
- Use of facilities
- Conduct
- Liability
- Force majeure or events outside their control
Where supplier terms conflict with your preferences or assumptions, the supplier terms will apply to the service they provide.
7. Amendments
Any request to amend a booking is subject to supplier approval, availability and any amendment charges imposed by the supplier.
The company may also charge a reasonable administration fee for significant changes or repeated amendment requests where permitted by law.
An amendment is not effective unless confirmed in writing.
8. Cancellations and Refunds
If you cancel a booking, cancellation charges will apply in accordance with the supplier's terms and any non-refundable elements already incurred.
Many hotel and travel rates are fully non-refundable, part-refundable only, or subject to increasing cancellation charges closer to arrival. You are responsible for checking the cancellation basis before confirming.
Where a refund is approved:
- The company will process it only once the funds have been received back from the supplier, where applicable
- Refunds will be made using the original payment method where possible
- Any bank, foreign exchange, card or third-party processing fees may be deducted where permitted
If a supplier becomes insolvent or fails to refund, the company is not responsible for reimbursing you unless legally required to do so.
9. No-Shows and Unused Services
No refund will usually be available for:
- No-shows
- Late arrival
- Early departure
- Missed transport
- Unused nights
- Unused services
- Services refused due to failure to meet supplier requirements
10. Travel Documents and Client Responsibilities
You are responsible for ensuring that all travellers:
- Hold valid passports, visas and any other entry documents required
- Comply with health, vaccination and border requirements
- Have appropriate travel insurance
- Arrive on time for all booked services
- Provide accurate names and other booking information exactly as required
The company is not responsible for losses arising from incorrect information supplied by you or any traveller.
11. Special Requests
Any special request, including room preference, dietary needs, accessibility requests, early check-in, late check-out, adjoining rooms, bed type or similar request, will be passed on to the relevant supplier where possible.
Special requests are requests only. They are not guaranteed unless expressly confirmed in writing by the supplier.
12. Medical, Accessibility and Welfare Information
You must tell the company in good time about any medical, mobility, accessibility or welfare requirement that may affect the booking or service delivery.
The company will pass relevant information to suppliers where necessary, but the ability to accommodate such requirements remains subject to supplier confirmation, local conditions and practical limitations.
13. Insurance
The company strongly recommends that all travellers take out comprehensive travel insurance covering cancellation, medical expenses, personal belongings, travel disruption and supplier failure where relevant.
14. Events Outside Control
The company is not liable for any failure or delay caused by events outside its reasonable control. This includes acts of God, severe weather, war, terrorism, civil unrest, industrial disputes, transport disruption, epidemic or pandemic events, government action, border restrictions, supplier failure, technology outages and similar events.
Where such events arise, the company will use reasonable efforts to assist, but additional costs imposed by suppliers or third parties will remain your responsibility unless otherwise required by law.
15. Our Liability
To the maximum extent permitted by law, the company's responsibility is limited to using reasonable care and skill in arranging the booking services agreed to provide.
The company is not liable for:
- The acts or omissions of third-party suppliers
- The actual provision of accommodation, transport or other supplier services
- Indirect or consequential loss
- Loss of profit, loss of opportunity, loss of enjoyment, reputational loss or business interruption
- Any issue arising from inaccurate information supplied by you
- Any failure by a traveller to comply with supplier rules or travel requirements
Nothing in these terms excludes liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any other liability that cannot lawfully be excluded.
16. Business and Group Bookings
Where the company arranges corporate, group or event-related bookings, additional written terms may apply including rooming list deadlines, attrition, name change rules, deposit schedules, release dates, allocation management, event handling charges and payment schedules.
Where separate event or group terms are issued, those terms will prevail over these website booking terms to the extent of any inconsistency.
17. Complaints
If you have a problem during travel or at the property, you must raise it promptly with the supplier at the time so they have the opportunity to resolve it.
You should also notify the company as soon as reasonably possible in writing at info@proluxetravels.com.
The company will review complaints concerning its own arranging services fairly and within a reasonable time. Complaints about the delivery of the booked service may need to be pursued with the relevant supplier.
18. Intellectual Property and Website Use
All content on this website, including text, branding, imagery and design, belongs to ProLuxe Travel Ltd or its licensors unless otherwise stated. You may not copy, reproduce or use website content for commercial purposes without prior written permission.
19. Privacy and Data Protection
Personal data is processed in accordance with our Privacy Policy. By making a booking enquiry or confirming a booking, you acknowledge that the company may need to share relevant personal data with suppliers and service providers in order to arrange and manage your booking.
20. Governing Law and Jurisdiction
These terms are governed by the laws of England and Wales.
Any dispute arising out of or in connection with these terms or the company's services shall be subject to the exclusive jurisdiction of the courts of England and Wales, unless mandatory law requires otherwise.
